Creating a Talk2Me Private Radio Network

A Talk2Me private radio network provides a closed push-to-talk communication environment for a family, business, organization, event, property, or operational team.

Only radios and users specifically assigned to the network can normally access its private groups and communications.

Private networks use internet connectivity. Compatible radios communicate through cellular data, supported Wi-Fi, or another supported internet connection, so users do not need to remain within traditional handheld-radio range.

Who May Benefit From a Private Network?

Private networks may be useful for:

  • Businesses with employees working across multiple locations
  • Security and event teams
  • Transportation and delivery operations
  • Farms, ranches, and large properties
  • Construction and maintenance crews
  • Schools, churches, and nonprofit organizations
  • Volunteer and community groups
  • Families traveling or coordinating across long distances
  • Organizations that need separate departments or communication groups

A private network may be appropriate when users need controlled access, identifiable radio usernames, separate operational groups, and communication beyond traditional handheld-radio range.

What Is Included in a Private-Network Setup?

A private-network configuration may include:

  • A dedicated company or network account
  • Assigned radio users
  • Unique radio usernames
  • Private communication groups
  • Platform access for compatible radios
  • Public Radio Service access when included with the radio
  • Platform Manager access when included with the customer’s configuration
  • Optional administrative or management features
  • Cellular SIM service when purchased or included separately

Available features depend on the radio models, purchased services, account configuration, compatibility, and customer needs.

The presence of a menu item does not mean the service is included or active. Talk2Me can confirm which platform, management, GPS, SOS, dispatcher, recording, monitoring, or connectivity features apply to the planned network.

Private Networks and Shared Talk2Me Platforms

A Talk2Me radio may be configured with access to both:

  • The customer’s private network
  • Public Radio Service (PRS)
  • CRS when available and assigned
  • HamLink for verified amateur-radio operators
  • Another separately assigned Talk2Me platform

These remain separate communication environments.

Private-network groups are not automatically visible to shared-platform users. Changing a username, group, or permission on the private network does not automatically change the radio’s identity or access on another Talk2Me platform.

Information Needed to Plan the Network

Before requesting a private network, consider:

  • Customer, company, family, or organization name
  • Primary contact
  • Renewal or administrative contact
  • Number of radios
  • Radio models being purchased or already owned
  • How the radios will be used
  • Number of departments, teams, properties, vehicles, or locations
  • Requested usernames
  • Requested groups
  • Which radios should belong to each group
  • Whether Platform Manager access is requested
  • Whether radios also need access to a shared Talk2Me platform
  • Expected cellular coverage areas
  • Supported Wi-Fi needs
  • Desired completion or deployment date
  • Optional GPS, dispatch, SOS, monitoring, recording, or management needs

Providing this information early helps Talk2Me plan a clear and manageable network structure.

Choosing Radio Usernames

Each radio should have a clear and unique username.

A username may represent:

  • A person
  • A vehicle
  • A department
  • A job function
  • A location
  • A unit number
  • A team

Examples include:

  • Dispatch
  • Unit 1
  • Security 2
  • Service Truck
  • Front Office
  • Warehouse
  • Maintenance
  • John

Avoid usernames that:

  • Duplicate another radio
  • Are excessively long
  • Contain unnecessary personal information
  • Use confusing abbreviations
  • Contain unsupported symbols
  • Impersonate an emergency or public-safety agency
  • Contain offensive or disruptive language
  • Are difficult to identify on a small display

Talk2Me may request a revised username when the proposed name is duplicated, unsupported, misleading, confusing, or inappropriate.

Planning Private-Network Groups

Groups determine which assigned radios communicate together.

Small network

A small network may need only one primary group:

  • Main

Business with several departments

  • Company Main
  • Dispatch
  • Management
  • Sales
  • Service
  • Warehouse

Security or event operation

  • Command
  • Security
  • Parking
  • Medical Coordination
  • Logistics

Family or property network

  • Family Main
  • Parents
  • Property
  • Travel
  • Maintenance

Avoid creating more groups than users can reasonably navigate. Too many similar groups can make it difficult to select the correct destination.

Who Should Be Assigned to Each Group?

Before setup, identify:

  • Which radios need the main group
  • Which departments require separate communication
  • Whether supervisors need access to multiple groups
  • Whether temporary users need limited access
  • Whether every radio should have the same group list
  • Whether direct one-to-one calls should be permitted when supported
  • Whether a group is intended for routine or limited use

A radio may belong to several groups while normally having only one active group selected at a time.

Plan for the people using the radios. A technically detailed group structure can still fail when users cannot easily recognize which group to select.

Platform Manager Access

Some private-network customers receive access to the Talk2Me Private Network Platform Manager.

Depending on the account and permissions, authorized administrators may be able to:

  • View radio users
  • View usernames and IMEIs
  • Create and edit supported groups
  • Change supported usernames
  • Review account status
  • Suspend supported user accounts
  • Update contact information
  • Add administrative notes
  • Change the Platform Manager password

Platform Manager is separate from the Talk2Me Support Center. Not every radio user needs administrator access, and access should normally be limited to authorized network administrators.

Customer-Managed and Talk2Me-Managed Networks

Depending on the service and configuration, a private network may be:

  • Primarily managed by Talk2Me
  • Partially managed by the customer through Platform Manager
  • Managed through a combination of customer tools and Talk2Me Support

Some supported changes may be completed by an authorized administrator. Other changes require Talk2Me, including:

  • Adding new physical radios
  • Correcting IMEIs
  • Replacing devices
  • Moving radios between private networks
  • Changing network ownership
  • Transferring applicable platform accounts or licenses
  • Making advanced service or account changes

Do not overwrite another radio’s account, substitute an IMEI, or create duplicate users as a workaround.

Existing Compatible Radios

Customers who already own radios should provide:

  • Manufacturer and model
  • Radio IMEI
  • Current platform or service
  • Current username
  • Current SIM information, when known
  • Whether the radio is unlocked
  • Proof of ownership or purchase when requested
  • Requested private-network username
  • Requested groups

Compatibility and platform eligibility must be reviewed before an existing radio can be added.

Not every PoC radio can be added to the Talk2Me platform. Compatibility depends on the hardware, software, account status, platform eligibility, and available configuration.

New Talk2Me Radios

Radios purchased for a private network may be prepared with:

  • The private-network assignment
  • The requested username
  • Initial group access
  • Shared-platform access when applicable
  • A preinstalled SIM when included
  • Applicable platform account information

Talk2Me radios are generally intended to arrive configured for their assigned services.

After unboxing

  1. Charge the radio using the included or approved equipment.
  2. Power it on.
  3. Allow time for cellular or supported Wi-Fi connection.
  4. Confirm that the private network is selected.
  5. Confirm that the correct group appears.
  6. Make a brief test transmission with another assigned radio.

Selecting the Private Network

On compatible radios with more than one assigned platform:

  1. Press Menu.
  2. Select Network.
  3. Highlight the private-network option.
  4. Press OK or the green confirmation button.
  5. Confirm that a checkmark or selection indicator appears.
  6. Press Exit or Back.
  7. Allow the radio time to reconnect.
  8. Open Group and select the desired private group.

The private network may appear as:

  • The company or organization name
  • A numbered Network option
  • An assigned account identifier
  • Another configured network label

Do not rely on Network #1 or Network #2 alone because numbered labels can differ by radio and configuration.

Some models may not display a Network menu when only one platform is assigned or when the radio does not support on-device switching.

SIM Service and Platform Access

Private-network access and cellular SIM service are separate parts of the system.

A radio may have correct private-network access but remain Offline when:

  • The SIM has expired.
  • Cellular coverage is unavailable.
  • The SIM is suspended.
  • The radio has no usable internet connection.
  • The incorrect platform is selected.

Some compatible models may also connect through supported Wi-Fi.

Coverage Planning

Private-network communication depends on internet connectivity.

Before deployment, consider:

  • Cellular coverage at work sites and expected travel locations
  • Indoor coverage
  • Metal buildings, basements, tunnels, or underground areas
  • Remote or rural locations
  • Carrier availability
  • Wi-Fi availability on compatible radios
  • Power and charging access
  • Backup communication methods
  • Whether multiple connectivity options are needed

Coverage can vary by carrier, location, congestion, terrain, building construction, equipment, and network conditions.

A private network does not guarantee communication in every location or circumstance.

Optional Features

Depending on the radio, service package, and customer configuration, optional features may include:

  • GPS location services
  • SOS alerts
  • Dispatcher access
  • Additional management tools
  • Point-to-point calls
  • Additional platform access
  • Custom groups
  • Additional SIM or connectivity options
  • Recording or monitoring features

Talk2Me can confirm which features are compatible, included, active, or available for the planned network.

Customers should review applicable laws, consent requirements, employment policies, and organizational procedures before using any recording, monitoring, or location feature.

Private Networks and Emergency Use

A Talk2Me private PoC network:

  • Does not connect to ordinary telephone numbers
  • Cannot place or receive a standard telephone call
  • Cannot contact 911
  • Cannot receive a 911 callback
  • Depends on cellular data, supported Wi-Fi, internet infrastructure, and power
  • Does not replace an appropriate emergency-communication plan

Some compatible radio models may separately support telephone calling with an appropriate voice-capable SIM and service plan. That function is separate from the private PoC platform.

Do not rely on the private PoC network as the only way to request emergency assistance. Maintain telephone access or another appropriate backup communication method for the organization’s safety needs.

Private-Network Security

Customers should:

  • Limit Platform Manager access to authorized administrators.
  • Use a unique password.
  • Keep account and renewal contact information current.
  • Report lost or stolen radios promptly.
  • Suspend access when a radio is no longer controlled by an authorized user.
  • Review usernames, groups, and assignments periodically.
  • Remove former employees or users from applicable access.
  • Avoid placing sensitive information in radio notes.
  • Never include passwords in support requests.

Routine private-network communications are not recorded merely because the radios use a Talk2Me private network. Optional recording, dispatch, GPS, or monitoring features may have separate requirements and configurations.

Requesting a New Private Network

Submit an Orders, Billing & Account Help request and select the closest available option related to:

  • Product recommendation
  • Pre-purchase assistance
  • Private-network sales or setup
  • General product guidance

Information to include

  • Customer or company name
  • Primary contact name
  • Email address
  • Telephone number
  • Number of radios needed
  • Preferred radio models, when known
  • Intended use
  • Number of groups
  • Suggested usernames
  • Locations where the radios will be used
  • Whether Platform Manager access is requested
  • Whether existing radios will be added
  • Requested deployment date
  • Optional feature needs
  • Questions about cellular service or coverage

Do not include passwords, complete payment-card information, Wi-Fi credentials, or unnecessary confidential information in the initial request.

Describe how the radios will be used, how many people need access, and which teams need to communicate together.

After the Network Is Created

Before full deployment:

  1. Confirm each radio’s IMEI and username.
  2. Confirm that the correct private network appears.
  3. Review the assigned groups.
  4. Test communication between radios.
  5. Test radios in expected coverage areas.
  6. Confirm Platform Manager access when included.
  7. Confirm administrator and renewal contact information.
  8. Train users to select the correct network and group.
  9. Explain that the PoC platform cannot contact 911.
  10. Keep a current inventory of radio models, IMEIs, usernames, assigned users, groups, and SIM information.

Talk2Me can use the customer’s operating needs to help determine an appropriate radio, group, username, connectivity, and management structure.
